Unit Availability for Assignment

A unit's availability determines whether it can be assigned to an appointment or agreement. When it comes to assigning a unit, the application checks for availability overlaps, as well as status, plate and sticker expiration, maintenance, turnback date, and other criteria.

To view a list of available units, click the Units Available status tile on you Fleet Operations dashboard, in the Fleet Inventory section. See "Fleet Operations & Performance Dashboards" for more information.

What Criteria Determines an "Available" Unit?

A unit that is available during a date range:

  • is not assigned to an appointment or agreement that has an overlapping Checkout Date or Return Date. (If assigned to an appointment, you are given the option to use the unit and remove it from the appointment.)
  • Note: When assigning a unit to an agreement, you are given the option to use the unit anyway (Use Unit) and remove it from the appointment, or chose another unit for the agreement.

  • has none of the following statuses: In Use, On Maintenance, Removed From Fleet, Pending Import Details, Flagged for Auto Removal, Hard Hold, Turnback Reached, or Recall.
  • has a status that is set as available, based on the location's Available Unit Statuses management setting.
  • has not yet reached its Turnback Date or Turnback Miles, and does not have a Turnback Date that falls within the appointment or agreement's date range.
  • is within a Model Group that has not yet reached its Model-specific daily appointment cap within the Pickup Location's Appointment Caps management setting (for rental appointments and agreements only)
  • does not have regular maintenance or Out of Service Days maintenance scheduled during the appointment or agreement's date range.
  • is not Requested for Recall by your manufacturer. See "Vehicle Safety Recalls" for more information.

Unit Alerts

TSD DEALER is designed to keep you up-to-date on expiring expiration dates, recalls, hard holds, whether your units have reached their Turnback Dates or Miles, and more.

Some unit alerts, such as those related to Turnback Date, Turnback Miles, subsidy programs, and license plate and inspection sticker expirations, are displayed at the top of a unit record under Messages,or under the assigned unit on an appointment or agreement.

Other alerts may be displayed in the form of a pop-up message that displays when:

  • assigning a unit to an appointment, agreement, or during an exchange; in these cases, some alerts require action before you can complete the unit assignment.
  • processing the return of a unit at close agreement or during an exchange.
Unit Alert: Action Required Unit Alert: Possible Override
  • Turnback Date or Turnback Miles are exceeded; unit is not available for assignment
  • Unit is on Hard Hold; the Hard Hold reason is also displayed
  • A recall is applied
  • Agreement dates overlap unit current usage.
  • License plate sticker is expired or will be expired prior to the Return Date
  • Inspection sticker is expired or will be expired prior to the Return Date
  • Customer does not meet both the location and minimum age requirements.
  • This odometer reading exceeds the daily vehicle limit.
  • Maintenance is scheduled, according to the Maintenance Intervals setting
  • Odometer reading override: You have entered a value that is less than the current odometer value.

Transponder Alerts

If your location uses Toll Processing with transponders, if the unit assigned to an appointment or agreement does not have a Transponder ID filled in on the unit record, a warning message is displayed on the unit record: "Unit does not have a Transponder ID, Tolls accrued will be paid by plate."

Locations that use transponders can use the Active W/O Transponder tile on the Fleet Operations dashboard to view all active units that are missing a Transponder ID, so you can update these units. See "Fleet Operations & Performance Dashboards" for more information.

Turnback Alerts

The application keeps you informed about when your units are approaching, or have reached, their set Turnback Dates and Turnback Miles.

Turnback alerts are displayed under Messages at the top of a unit record or agreement, or when opening an agreement after assigning a unit.

  • a unit is approaching its Turnback Date or Turnback Miles, based on the Turnback Date Notification Lead Time and Turnback Miles Notification Lead Time management settings.
  • a unit has reached or past its Turnback Date or Turnback Miles, which means its status is now Turnback Reached. If you attempt to assign such a unit to an agreement, a message is displayed in the Select a Unit section; you must assign a different unit in order to open the agreement or complete the unit exchange.
